Data we collect

Contact and registration data

When you complete the contact form or book a demo, we collect your name, email address, company name, phone number and the message or query you send us. This information is necessary to respond to your request and provide the corresponding service.

Platform usage data

Once you access the Xendra Pro platform as a customer, we record information about your use of the service: call volume, agent configurations, active integrations, performance metrics and call transcripts. This data is used to operate the service and generate the actionable reports included in your plan.

Technical and browsing data

When you visit our website, we automatically collect technical information such as your IP address, browser type, operating system, pages visited and time spent. This information is anonymous and used solely for statistical analysis and site improvement.

Voice recordings

Calls handled by the AI voice agents are recorded according to the configuration enabled by each customer. Recordings are encrypted in transit (TLS 1.3) and at rest (AES-256). Consent from the other party is configured in accordance with the regulations applicable in each region.

How we use your data

Service delivery

We use the data we collect to operate and maintain the AI voice agent platform, process demo and contact requests, manage your account and subscription, and provide technical support.

Product improvement

We analyze usage data in an aggregated and anonymized way to identify patterns, improve the accuracy of neural voices, optimize conversation latency and develop new features.

Communications

We may send you service-related emails (confirmations, security updates, changes to the terms), as well as commercial communications about new features or plans, always with the option to unsubscribe at any time.

Legal compliance

In certain circumstances we may need to process your data to comply with legal obligations, respond to requests from competent authorities or protect the legitimate rights of Xendra Pro.

Security and encryption

Encryption in transit and at rest

All communication between your system and our platform takes place over TLS 1.3. Voice recordings, transcripts and sensitive data are stored with AES-256 encryption.

Controlled access

Access to customer data is restricted to authorized Xendra Pro personnel under least-privilege principles. Multi-factor authentication controls and audit logs are applied across all internal systems.

Secure infrastructure

Our infrastructure is hosted on certified cloud providers (ISO 27001, SOC 2) with geographic redundancy, automatic backups and continuous security monitoring.

Incident management

We have security incident response procedures in place. In the event of a data breach affecting your personal information, we will notify you within the timeframes established by applicable regulations.

Transfers and subprocessors

Data residency

You can choose the storage region for your data (South America, North America or Europe) according to your organization's compliance requirements. Enterprise plans allow dedicated data residency.

Subprocessors

To provide the service, Xendra Pro works with trusted subprocessors that include cloud infrastructure providers, VoIP telephony services, speech synthesis and recognition systems, and analytics platforms. Each subprocessor is subject to data protection agreements equivalent to those applied to Xendra Pro.

Third-party integrations

When you enable integrations with CRMs (HubSpot, Salesforce, Pipedrive), WhatsApp Business, helpdesks (Zendesk, Freshdesk) or other tools, the data transferred to those systems falls under the privacy policies of each platform.

Your rights

Access and rectification

You have the right to access the personal data we hold about you and to request its correction if it is inaccurate or incomplete.

Erasure

You can request the deletion of your personal data at any time, unless there is a legal obligation requiring its retention. Once deleted, it cannot be recovered.

Portability

You have the right to receive your personal data in a structured, commonly used format, and to transmit it to another controller where technically feasible.

Objection and restriction
